A Job and Task Analysis (JTA) is used to identify, establish, and record:
- job functions
- duties
- tasks and subtasks
- expected performance capabilities
It sets forth not only what an employee is expected to do, but also
the conditions governing the performance and the performance standards
to be reached.
A job and task analysis (JTA)
is a critical element of any business’ internal documentation,
particularly when performance issues may be due to employee ignorance
of the nature and scope of their duties, rather than a lack of skills.
Every organization, large or small, should undertake a JTA for every
core position to ensure that it has clearly captured what it expects
each employee to contribute to the organization’s activities.
It’s also an effective way of capturing the expertise of your
master performers and creating a bank of best practices.
The analysis can then be used as a reference document for HR personnel
whenever they need to:
- develop competency frameworks
- hire new staff
- conduct performance reviews
- re-allocate responsibilities to other staff members
- develop employee training plans
Our experience shows that a Job and Task Analysis is an essential
prerequisite for training success.
When combined with an overall workflow
analysis, JTAs identify:
- areas of duplication, where two people are repeating the same
task
- performance gaps, where tasks are not being performed
- confused task allocation, where no one knows who is responsible
for a given task
